Lyn Owen called the meeting to order & began with prayer.

Minutes of December Leadership Team Meeting & January Congregational Meeting – 2017 Budget approved as filed.

Leader #1 — Lyn Owen

  1. Property Maintenance — Point Person: Clark McIlvain requested permission to replace broken windows in Pastor Craig’s office.  Team remembered postponing a month ago at Pastor Craig’s request.  Lyn will check with Craig when he returns from Study Leave.
  2. Personnel Committee – Point Person: Lila Aurich             
    1. Staff Appreciation Luncheon was fun for all with Pastor Craig’s planned activities.
    2. Staff Performance Reviews were distributed to Congregation Sun. Jan. 15, 2017

  1. Worship — Pastor Craig up north beginning classes for Doctorate of Ministry program. Jim Burklo filling in both Sundays of his absence –January 8 & 15.  Pastor Craig return January 29.
  2. Music – Point Person: Wayne Wilkins – February Sing-a-Long, 2/04/2017 will feature music of the Beatles to hopefully attract some younger members to create an intergenerational experience – with pizza & other refreshments.

    1. Laurie Gysin & Nita Standke working on proposal for new WHCC Newsletter – CONNECTIONS – distribution planned via e-mail, with print copies for those without computers (mailed to those unable to attend church)
    2. Laurie has also suggested an additional insert to the bags distributed to visitors with information about the church Website for more current activities.

    1. Donations were sent to 9 organizations before the end of the year with the help of Lila Aurich.

SOLAR ENERGY DISCUSSION – Evaluation of Sunistics presentation. Solar Max (suggested by George Walter), California Interfaith Power & Light (suggested by Gina Low)

    1. No cost to WHCC
    2. They install & maintain panels & retain ownership
    3. Life of Contract – 25 years, end of contract, system becomes property of WHCC
    4. Guaranteed 1/3 cut in bill for electricity
    5. Remaining 2/3 of bill goes to Sunistics as their income from contract + rebates, etc.

The Leadership Team decided more information is needed from each of the 3 companies before we can fairly evaluate which direction would provide the most savings & safety to WHCC.   Sunistics receives most of the benefits from their system – essentially paying WHCC 1/3 of our electric bill for the use of our roof.   Solar Max requires a huge financial commitment, obligating the congregation for many years to come to provide a larger end benefit.  In the case of each, there is a question about what LADWP plans to do to recoup their loss of income from solar panels installed – extra fees, surcharges, etc.

Lyn contacted the 3 companies, asking further questions & again requesting information from Interfaith Power& Light.  The Team will revisit the discussion at the February meeting.

LEADERSHIP TEAM STRUCTURE

  1. Working well for most part
  2. Point Persons not all in place
  3. NEED MASTER CALENDAR of events that we would like to see happen so there is less last minute panic with Leader needing to make it happen
    1. This would allow news to Congregation that we need someone to handle event or it will need to be cancelled.
    2. Still too many expectations for events congregation expects to just happen
  4. Not enough people understand how to bring forth an idea with Proposal System – go to Craig instead & he shouldn’t need to be that one person.
  5. Still people who want to have ideas – but don’t want to organize & carry out that idea.

The Team agreed that we need to think about suggestions for improvement of the system & brainstorm at our next meeting.

MINUTES OF WHCC CONGREGATIONAL MEETING

SUNDAY, JANUARY 8, 2017

SUBJECT:  APPROVAL 2017 CHURCH BUDGET & SOLAR PANEL PROPOSAL

Copies of the 2017 Proposed Budget were distributed to those attending the meeting.  

Lyn Owen called the meeting to order at 11:10 a.m. and thanked everyone for attending.  Attendees were asked to sign in for the record of those attending the meeting.

At their last meeting the Leadership Team requested that Sunistics Group present their Solar Energy Proposal to the Congregation for their information. (Clark McIlvain did research on the company & worked with them to prioritize WHCC’s needs before they met with the Leadership Team with their presentation.)

As the meeting began Lyn introduced Michael Knight & Jim McGinley of Sunistics Better Energy Solutions to explain to the Congregation their proposal to install solar panels on the Sanctuary & Office roof.  This is guaranteed to lower WHCC’s electricity bill by 1/3 & they promise work with the church to make the church as energy efficient as possible.  They install the panels at no charge to the church, maintain the panels for their 25 year life, at which time they become the property of WHCC.  The congregation asked many of the same questions that the Leadership Team had asked & the 2 with the assistance of Clark & the Team answered them.  Several Congregants had suggestions of other companies that should be contacted for bids, too.  The Congregation was asked to send any further questions to Lyn Owen via email or in writing – she will see that those concerns are answered before the Leadership Team decides how to proceed.

Pastor Craig opened the financial portion of the meeting in prayer.  Then he introduced the one portion of the new budget that concerned his own package.  Changes were made to the allocation of certain portions of his package by the Leadership Team at his request, but the over-all package remains the same total amount.  Then he left the meeting on his way to the airport for his 2 week study leave with blessings from all in attendance.

Kent Riepe, Financial Director, presented the Proposed Budget to the congregation for their discussion.  He reiterated that there was no change in Pastor Craig’s total salary package.  The presented proposed budget does include the savings offered on the cost of WHCC’s electric usage by the Sunistics Group.  The remainder of the budget is based on actual 2016 operation income & expenses.

The goal of the 2017 Stewardship Pledge Drive was $114,456 (2016’s total pledges), but thanks to the recent successful campaign 61 pledges were received for a total of $118,410.  This Proposed Budget is not only balanced but provides a surplus of $4,394.97 to help cover emergency maintenance or special projects as they arise.

Kent requested a motion to approve the 2017 Budget.  MOTION:  Jennifer Walter moved, Kevin Ayers seconded the motion that the 2017 Budget be passed as presented.  With no further discussion, the budget was approved unanimously.

LEADERSHIP TEAM MINUTES – December 15, 2016

Present:  Pastor Craig Peterson, Lyn Owen, Kent Riepe, Joanne Franco, Jeanne Mowers, Lisa Marlow, Clark McIlvain, Bill Owen, Michael Knight (Sunistics Group) Absent:  Nancy Rush.                                                                                                                                                                                  

Opening prayer led by Pastor Craig.

Michael Knight from Sunistics Group Energy Management was introduced & the meeting turned over to him for his presentation on adding solar panels to west side of Sanctuary & Office roof & improvement in cost of electricity on campus.

  1. Clark has worked with Sunistics to prepare a plan for WHCC, including installation of panels, savings to be expected.   Reason:  Electricity expenses are large & cutting that expense will facilitate cutting costs – electricity #2 on expense list for most churches after salaries.
  2. Sunistics to furnish solar panels, manage installation, all maintenance of system at no cost to WHCC. Panel life – 40 years
  3. WHCC guaranteed electric bills 33% lower — $971 à $697 per month on average
  4. Sunistics retains other 2/3 of electric bill as their income.
  5. At end of 25 years, system belongs to WHCC outright.
  6. They will work with WHCC to lower electricity usage throughout campus.
  7. Michael will make presentation at Congregational Meeting for whole church, Jan. 8, 2017. Meanwhile, any additional questions Team may have will be sent to him via email through Lyn.

2017 PROPOSED BUDGET – Kent reported that proposed budget is based on 2016 budget + actual figures from first 11 months of the year.

  1. Pastor Craig requested a restructure of his salary package, moving some of his salary into his continuing education expenses at the request of his financial planner (his entire package remains the same so need not be approved by whole congregation). MOTION:  Kent moved, Lyn seconded that $3780 be reallocated from Salary to Ministry Expense, making that total $5280 to cover Pastor Craig’s approved Doctor of Ministry education.  Motion approved unanimously.
  2. Personnel Committee recommended a pay raise for Dharshani for her child care Sunday mornings. MOTION:  Joanne moved & Kent seconded that Dharshani’s salary be increased from $12.50 to $15.00 per hour, effective January 1, 2017.  Motion approved unanimously.

  1. Emerson Unitarian Universalist Church – They received a grant for new community outreach program, “Our Whole Lives (OWL)” – for 7th & 8th Discussed need for space for them to use.
  2. FOCUS – Discussed need to bring back newsletter. Laurie Gysin Miller will edit, Erika print in office, distribution via e-mail, printed copies on community table & in office, mailed on request.

LEADERSHIP TEAM MINUTES – July 13, 2016

Present:  Pastor Craig Peterson, Kent Riepe, Joanne Franco, Jeanne Mowers, Nancy Rush, Lisa Marlow, Audrey Johnson, Gina Low.  Absent:  Lyn Owen

Opening prayer led by Pastor Craig.

Minutes of June Council & Congregational Meetings approved as filed.

Financial Report:

Monthly Budget vs. Actual report reviewed by Leadership – no immediate problems noted.  From January 1, 2016 – June 30, 2016, the total income was $134,786.85; total expenses were $134,036.92.  This left a surplus of $749.93 for the first six months of the year.

Team Organization:

Team Organization was discussed & planned for coming year.  To speed meetings, written reports of months’ activities & future plans will be prepared by each Leader for their areas of oversight.

Specific Issues Decisions:

  1. Accounts Check Signers: MOTION:  All members of the Leadership Team shall be authorized as signers on the WHCC General Fund Checking Account at Premier America for the 2016-17 church year – Lyn Owen, Moderator; Kent Riepe, Chief Financial Officer; Joanne Franco, Worship; Jeanne Mowers, Secretary; Nancy Rush, Community Relations.  M/S Joanne Franco/Jeanne Mowers.  Motion passed unanimously.
  2. Sunday Offering Counters: All members of the Team + other experienced former Trustees will count the Sunday offering following the service – 2 people per Sunday.
  3. Use of Church Space:
    1. Share CYM outer office in Doty Bldg. during weekdays to be used as Teachers’ Lounge for Nursery School.
    2. Dedicate Doty Bldg. Rm. 200 for a new Middle School Youth Group (they will NOT be given exclusive use of the room).

Training Session: 

Team discussed how Proposals from Church Participants will be encouraged, received & facilitated.  A method to inform Congregation about the process for suggesting new ideas to the Team was recognized & will be discussed at next meeting.

Executive Session:

The last item on the meeting agenda concerned a Personnel matter that the Team needed to discuss privately.

The Leadership Team closed their meeting with a prayer led by Pastor Craig.
